Privacy Policy

1. What we collect

We collect only what we need to operate the service:

  • Account info: email, password (hashed), display name, user type (homeowner/contractor/builder/architect), location (state/region).
  • Equipment profile: HVAC unit model, manufacturer, serial numbers, year built, square footage, ZIP code — anything you choose to enter for personalized advice.
  • Conversations: the messages you send to the AI assistant and the responses we generate, retained so you can revisit them.
  • Voice usage: the count of voice minutes consumed (we do not retain audio).
  • Photos you submit: images you upload to the camera diagnosis feature are sent to our AI vision provider for analysis. We do not retain these images server-side beyond the request.
  • Billing info: handled by Stripe — we never see or store your card details. We retain only the Stripe customer ID, subscription tier, and billing-event metadata.
  • Logs and diagnostics: request URLs, response codes, error tracebacks, and IP addresses for security and debugging.

2. How we use it

  • To deliver the service you signed up for (AI answers, equipment-aware advice, voice playback, alerts).
  • To operate billing and respond to support requests.
  • To detect abuse, prevent fraud, and enforce rate limits.
  • To improve the service over time. We do not sell or rent your personal information.

3. Third parties we share with

To operate, the service sends data to:

  • OpenAI — your conversation messages and uploaded photos for AI processing. Subject to OpenAI's API terms.
  • Google Vertex AI — for building-code lookups with grounded search.
  • ElevenLabs — for voice synthesis when you use voice features.
  • Stripe — for billing, payment processing, and subscription management.
  • Google Cloud Platform — hosting (Cloud Run + Cloud SQL).
  • Email provider (SMTP) — for verification emails, password reset, billing receipts, and HVAC alerts you opt into.

We do not share your data with advertisers or analytics brokers.

4. Your rights

  • Access: view your profile and conversation history any time inside the app.
  • Export: request a copy of your data by emailing tom@procalcs.net (a self-serve export endpoint is on our roadmap).
  • Delete: use Settings → Delete Account to permanently remove your account and associated conversations / equipment / notification preferences. This action is irreversible.
  • Marketing opt-out: you can disable email and in-app notifications in Settings.

5. Data retention

We retain your account data and conversations for as long as your account exists. When you delete your account, your records are removed within 30 days from production systems and within 90 days from backups.

6. Security

Passwords are hashed (never stored in cleartext). Connections use TLS. Billing is handled exclusively by Stripe (PCI-DSS compliant). We do our best to keep your data secure, but no system is impervious — see the next section.

7. Limitation of liability

The service is provided "as is" without warranty. The AI's responses are informational and should not be treated as substitutes for advice from a licensed HVAC professional or other qualified specialist. We are not liable for damages arising from reliance on the output of the AI assistant.

8. Children

The service is not directed at children under 13. We do not knowingly collect information from children. If you believe we have, please contact us and we will delete the account.

9. Changes

We will notify you of material changes via email and update the effective date above.
